So you have found your dream job or another fabulous job better than that your current position and you decide to quit. How to write a resignation letter should come like a thing of joy to you.
Note, it is unprofessional to leave your position with officially informing the management in writing. Even if, you have had a turbulent relationship with your boss or superiors, you must guard your few days with your current organisation delicately because your need a referral from them in the future.
What is Resignation letter?
A resignation letter is a type of letter that officially informs the company of your decision to leave or quit your position from the company. The letter should be polite though formal. Most appointment or employment letter specifies the number of weeks or months and employee has to notify the management of his/her decision to leave.
So, here is how to write a resignation letter that you will submit to your human resources manager.
A resignation is like every other official letter; you go straight to the point – the purpose of writing. Most resignation letters are written in three paragraphs:
Paragraph one:
This paragraph states your purpose. You can start your resignation in any of the following ways:
“I would like to inform you of my intention to resign from {Position} at {Company Name}, effective one month from today {Current Date}.”
“Please accept this letter as an official notification that I am quitting from my position as {Name of Position} at {Company Name}. My last day will be {Date} that is two weeks from today {Current Date}”
“I am writing to inform officially of my decision to resign from my current position as {Position Name} at {Company Name}, effective two weeks from today, {Current date}.”
Paragraph Two:
This paragraph usually contains an appreciation message. It tells your employer that you are grateful for the opportunity to have worked in the firm. Tell them what you have learned on the job and how you have enjoyed the role or your stay at the company. Example:
“I would like to thank you for the opportunity to work in this position for the past {state the duration you have occupied the position}. I have learned a lot {State one or two qualities or e skills} from you and my team members (or colleagues). All of which I will take with me throughout my life and career. Indeed, I have enjoyed this opportunity given to me ever since I joined {Company Name}.”
OR
You can make it simple –
“During my time at {Company Name}, I have been fortunate for the opportunity to grow and learn more about {Field/Career path/ Industry}. Your guidance, mentorship and support have horned my skills and prepared me better for the future.”
Paragraph Three:
This is the concluding paragraph. In this paragraph you show your willingness to ensure smooth handover of your last days to your team members or to the next candidate that will replace you. Examples:
“Please let me know how I can be of help during the transition period, I am willing for the smooth handover of all the company property within my care. I wish the company the best going forward.”
You can still keep it simple –
“Please let me know how I can be of help during the transition period. I wish you and the company the very best.”
OR this touching version –
“During my last three weeks, I will do everything within my power to ensure I wrap up my duties, hand in the company’s asset in my care and train other team members. Feel free to let me know any other thing I can do to facilitate smooth transition to the next person. I wish the company the very best in the future. I will surely keep in touch.”
Resignation letter ends with signature sign off. “Yours sincerely” followed by your signature and underneath your full name.

Word of caution: Ensure you have signed on dotted lines of the company you are heading to before you hand in your resignation. Also, remember leaving a position is not the end of life, ensure to maintain a cordial relationship with your HR manager before and within your transition period.
